Start with active records
Import active properties, units or rooms, current tenants, rent amounts, due dates and balances first. Old records can be archived later if they are not needed for daily operations.
Validate before automation
Do not turn on reminders, reports or owner summaries until balances and statuses have been checked. A clean migration prevents confusion later.
Keep a short parallel period
For the first cycle, compare the new system with the previous spreadsheet. Once the team trusts the new workflow, retire duplicate tracking so the system becomes the source of truth.
